Position Description

Position Summary

This position provides administrative and project support to the Director of the Doctor of Physical Therapy Program and Director of Clinical Education for Physical Therapy. Responsibilities include acting as the first point of contact for visitors, faculty candidates and students; data entry; project and event coordination; assistance with Clinical Education; maintenance of program website and a high volume of general support responsibilities. This is a part-time, 12 month position.

Education Required

High school diploma or equivalent required

Associates degree preferred

2-3 years of administrative support

• Professional-level communication skills including strong writing, editing, speaking and comprehension skills
• Ability to communicate successfully across department and with various constituencies, including external contacts
• Strong organizational skills, strong attention to detail and procedure, ability to problem solve and see issues to their conclusion, and the ability to prioritize multiple responsibilities
• Expert computer skills including the ability to work independently in Banner, Excel, Canvas, CALM, Discoverer, Word, and Outlook, as well as understand basic web design
• Ability to maintain and generate various reports
• Ability to work independently on complex projects with little to no oversight

Primary Duties

1. Support Director of the Doctor of Physical Therapy Program and Director of Clinical Education for Physical Therapy.
2. Act as point of contact for all inquiries and initiatives related to the graduate program, and clinical experiences.
3. Plan and support the implementation of events for the graduate program.
4. Manage clerical duties including copying, filing, file management, typing, and faculty load information.
5. Manage budget; prepare and provide monthly budget reports.
6. Maintain student lists for the graduate program.
7. Assist adjunct faculty.
8. Attend department meetings: prepare and distribute meeting minutes.
9. Maintain databases, websites and listservs for the program.
10. Collect and maintain course syllabi for the program.
11. Update operational policies and procedures on behalf of the program as requested, including but not limited to the student handbook, clinical education manual, and research manual.
12. Assist with the preparation of annual reports and assessments of program as requested.
13. Manage the day-to-day logistics of faculty searches for the program.
14. Assist with the preparation and dissemination of promotional materials for the program.
15. Assist with incoming applications for the program. Prepare files and manage data as requested including scheduling interviews and sending admission and orientation letters.
16. Maintain consistent and reliable attendance.

Secondary Duties

1. Obtain a familiarity with the technology used to sustain the program.
2. Maintain office equipment and order supplies
