Position Description

Position Summary

This position provides key administrative support to the treasury accounting function. Responsibilities include recording financial transactions for endowment, split interest, beneficial interests in trust and other related funds; reviewing, reconciling, and accounting for investment-related activity, which includes communication with the College’s Outsourced Chief Investment Officer (OCIO), the asset custodian and reporting firm, and external investment managers in order to ensure the accuracy and completeness of data and preparing related tax and financial statement disclosures; managing transfer transactions for cash, short-term, trust and endowment investment transactions; preparation and analysis of financial reports; and responding to finance related inquiries from various internal and external constituencies. Additionally, this position will act as a backup to the Director of Treasury and Investments.

Education Required

Bachelors’ degree in Accounting, Finance or related field

2 or more years of Not-for-Profit financial analysis and accounting experience

• A strong understanding of Generally Accepted Accounting Principles and the ability to record activity and events in a manner that complies with GAAP
• Advanced understanding of Not-For-Profit accounting, including concepts and practices for endowment unitization, split-interest agreements, and beneficial interests in trusts
• Excellent financial analysis skills
• Strong attention to detail and accuracy
• Professional level communication and relationship skills necessary to facilitate workflow with campus departments and various investment and related contacts.
• Ability to work independently on complex projects managing significant portions with little to no oversight
• Working understanding of various investment vehicles and concepts
• Ability to work discreetly with confidential and sensitive information.

Primary Duties

Endowment and Related Accounting and Reporting:

1. Administer the accounting and reporting of the College’s Endowment and related funds. Perform monthly reconciliation of investments and record related income, fees, and other activity. Perform monthly endowment unitization and reconciliation of endowment fund net assets, working collaboratively with Development Services to ensure recording of endowment fund activity is in accordance with donor restrictions and board designations.

2. Working closely with the Director of Treasury and Investment and the College’s Outsourced Chief Investment Officer (OCIO), facilitate processing of endowment cash flow including the transfer of endowment gifts to the investment pool, liquidation of endowment funds to fulfill the endowment spending draw, and manage capital commitments (capital calls and returns of capital). Collaborate with the Director of Treasury and Investments and VP for Finance & Planning in analyzing and evaluating investment performance and prepare investment and endowment reports for the Board of Trustees.

3. Perform various endowment fund accounting calculations, prepare related reports, and related analysis in response to campus inquiries. Key calculations and reports include endowment spending calculations and related reports for the Development Office and reporting of scholarship funds available for award by Financial Aid.

4. Facilitate the preparation (internally or externally) of related investment tax and information returns and/or disclosures, including partnership, alternative investment, and foreign investment disclosures.

5. Act as backup for Director of Treasury and Investments, when necessary. Additional training in finance and investments will be required to function effectively in this backup role.

Split Interest and Beneficial Interests in Trusts:

6. Administer the accounting and reporting of the College’s Split Interest and Beneficial Interest funds.

7. Oversee the analysis, recording and reconciliation of transactions and net assets for gift annuities, charitable trusts and related assets and liabilities.

8. Working collaboratively with the Development Office, oversee administration and accounting for split income arrangements and related funds in compliance with donor restrictions and board designations.

9. In conjunction with the Development Office and the College’s third party service providers, facilitate cash flow for split interest agreements, beneficial interests in trusts, and related assets, including the transfer of gift proceeds to third party service providers and initiation of periodic payment of obligations for charitable gift annuities, charitable trusts, mortgages, etc.

10. Facilitate the preparation (internally or externally) of related trust tax returns, split interest information returns, and reporting to the Board of Trustees and third parties (i.e. property taxes, as needed).

Operating Cash and Other Investment Accounting and Reporting:

11. Monitor cash and short term investment positions and recommend cash transfers as needed to fund anticipated operating expenses.

12. Initiate processing of wire and ACH requests from campus department, ensuring authorization and documentation is consistent with College processes.

13. Support efforts of student investment club endowment accounting as needed.

14. Assist in preparing and filing third party reports related to short term investments and support Finance requested analysis.

Treasury and Other Support:

15. Support the College’s compliance process by ensuring that all investment and related asset governmental regulatory related filings are completed in an accurate and timely fashion.

16. Support the administration of the annual audit of the College’s financial statements and preparation of the Colleges’ Form 990. This includes, but is not limited to, recording of year-end adjustments, preparation of supporting work papers and analysis related to the above functional areas, preparation of assigned footnotes and schedules, and all other tasks as requested by the VP for Finance & Planning or Controller.

17. Assist VP for Finance and/or Director of Treasury and Investments with the following, as requested:
– Assessing cash and short term investment options
– Analyze cash, short term, trust, annuity, and endowment investment balances per liquidity requirements (at least annually).
– Review asset allocations in order to ensure that such allocations are in conformity with the College’s Split Income Investment Policy.
– Preparation of bond issuance documentation and other related reporting including third party compliance filings.

18. Manage the flow of financial information including maintenance of policies, procedures, and extensive files relating to investments, endowment and split interest funds, financing and treasury activities.

19. Maintain consistent and reliable attendance.

Secondary Duties

1. Perform special projects as assigned by the Director of Financial Services/Controller, Director of Treasury and Investments, and Vice President for Finance.
