Position Description

Position Summary

The Registrar provides strategic leadership to plan, organize, and manage all activities associated with student records. The Registrar safeguards and manages student records in accordance with the Family Educational Rights and Privacy Act (FERPA), Higher Learning Education guidelines, and other applicable laws, federal regulations and college policies. The Registrar works collaboratively with the Provost’s Office, Enrollment Management, Student Advising, school deans and department chairs, and the Information Technology departments to help address the needs of both prospective and current students.

Education Required

M.A. or M.S.
PhD a plus.

Experience Required

Four years of collegiate academic experience, two in a registrar or enrollment office with minimum of two years of experience in developing and implementing policies associated with student records.

Primary Duties

1. Oversee the maintenance of student academic records; oversee the preparation and distribution of grade reports and transcripts.

2. Oversee the registration process; prepare registration materials; oversee the course drop/add process.

3. Establish class schedules for fall and spring semesters (including J and May term), in consultation with the Associate Provost and department chairs.

4. Schedule all credit courses in the appropriate space each semester.

5. Oversee preparation and distribution the Final Exam Schedule for fall and spring semesters.

6. Oversee the preparation and distribution of degree audits for graduation certification. Includes oversight of the maintenance of the DegreeWorks program and individual student transactions (e.g. course substitutions and waivers).

7. Oversee the preparation of the list of graduates for commencement; work with the President’s Office relative to other aspects of the commencement exercises.

8. Oversee the preparation and distribution of transfer evaluations for transfer applicants.

9. Oversee evaluation of Advancement Placement, CLEP, ACT-PEP, International Baccalaureate results and notify students of the results.

10. Oversee the registrar processes that lead to new student registration via McSquare. Coordinate with campus offices involved in the process.

11. Provide oversight for the preparation of the academic sections of the college catalog and the student handbook.

12. Provide leadership for the implementation and management of technology applications (e.g. student information system, WEB services functions, e.g. online registration, degree audit and faculty grading).

13. Support the academic advising process, including preparation of advising materials; assist with maintaining the Advising Handbook; work with the Department Chairs in updating major and minor requirements.

14. Act on all student academic policy petitions, grade changes and requests for changes in final exam schedules.

15. In consultation with the Associate Dean of General Education and Common Learning act on requests for substitutions and waivers of general education requirements.

16. Oversee the process for independent and directed study requests.

17. Review, approve and process requests for transfer courses and study abroad requests.

18. Chair the Academic Appeals Committee

19. Serve on (or recommend a designee) the Academic Council, Curriculum Committee, the General Education Committee, the Admissions Committee, the Administrative Computing Committee, International Student Committee, Student Retention Team and the Academic Advising Committee. Serves on adhoc committees as needed.

20. Serve as the designated school official on matters of compliance with the Family Education Rights and Privacy Act (FERPA). Help to ensure campus wide compliance with the regulations by keeping the campus community informed through workshops, written communication and other means.

21. Ensure institutional compliance with Veterans Administration and Immigration and Naturalization Service regulations. Serve as VA and BCIS certification officer.

22. Serve as a Designated School Official (providing back-up to the Primary Designated School Official) with responsibility to ensure that international student visas and other immigration documents are in compliance with the Bureau of Citizenship and Immigration Services regulations.

23. Work with the Associate Director of Curriculum and Assessment to develop summer school offerings to be distributed during the fall semester; oversee preparation of summer school course registration materials.

24. Work with the Office of Institutional Research to complete or provide the necessary academic data for external agency reports and internal institutional research studies.

25. Provide leadership to ensure continuous process improvement within the office. Work with internal staff and ITS staff to automate processes in the Banner Workflow module and other software applications as appropriate.

26. Recommend and/or assist with the development of new or revised academic policies.

27. Carry out special assignments and studies as assigned by the Associate Provost.
