Position Summary

This position provides specialized support to the Vice President for Enrollment Management and provides administrative support to all Enrollment Management leadership.

Education Required

Associates Degree and/or specialized training required.

Education Preferred

Bachelor’s Degree.

Experience Required

2-3 years of administrative support experience

• Professional-level communication skills, including strong writing, editing, speaking and comprehension skills;
• Ability to communicate successfully across departments and with various constituencies, including external contacts;
• Expert computer proficiency including the ability to work independently in Outlook, Word, Excel, PowerPoint, and Slate as well as understand basic web design;
• Ability to work independently on and prioritize complex projects managing significant portions with little to no oversight;
• Specialized training and development in enrollment publications and marketing.

Primary Duties

1. Provide administrative support for Vice President including maintaining appointment calendar, dealing effectively with inquiries, correspondence, travel arrangements, maintaining files, and preparing for Board of Trustee meetings.
2. Provide administrative support for Director of Admissions, including maintaining calendar, handling telephone inquiries, clerical support, and scheduling/planning admissions retreats.
3. Maintain the admissions major brochure inventory, dealing effectively with Deans, Department Chairs and the Marketing and Communication office.
4. Work with a variety of external constituents including, but not limited to, Brethren in Christ Quizzing and Salt ‘n’ Light.
5. Assist with budget monitoring of all Enrollment Management offices, including journal vouchers when necessary. Work with Purchasing and Accounts Payable for request of Purchase Orders and for payment of invoices, fairs, reimbursements, etc. Assist, as delegate approver, in the approval of all Admissions staff VISA allocations.
6. Generate a variety of defined admissions reports for EM and Admissions Office, most specifically enrollment updates and weekly committee reports.
7. Order and manage inventory of all promotional products related to prospective student giveaways for campus events and daily visits, conferences, Salt ‘n’ Light retreats, festivals, junior and senior high schools, and churches, as well as items for volunteer student staff (Ambassadors).
8. Work with Marketing and Communication regarding admissions’ advertising.
9. Perform clerical functions as needed by Vice President, AVP and Director including but not limited to writing and proofreading letters, renewing memberships with professional organizations like NACCAP and NACAC, planning conference trips for these same organizations, completing paperwork and processes for needs related to human resources, onboarding new employees, and maintaining documentation for standard operating procedures.
10. Proofread and review all outgoing letters from Admissions.
11. Maintain consistent and reliable attendance.
