Position Description

Position Summary

This position provides administrative and project support to the Department of Disability Services. Responsibilities include fielding phone calls, calendar management, data entry, project & event coordination, maintaining websites and a high volume of general support responsibilities.

Education Required

High school diploma or equivalent.

Education Preferred
Experience Required

Minimum of 1-2 years of administrative support/secretarial experience.

• Ability to work with databases including the Banner system as well as understand basic web design;

• Ability to anticipate and proactively prepare
• Ability to effectively supervise additional support staff or work study students may be required.

Primary Duties

1. Provide general administrative support to the department photocopying, filing, mail processing, and answering phones
2. Act as a receptionist for greeting students, parents, and other visitors.
3. Identify and respond to all department phone inquiries, categorize, answer questions, and follow-up appropriately.
4. Document and disseminate department meeting minutes and other departmental communications.
5. Management of email and contact groups.
6. Maintain calendard and coordinate scheduling for all departmental activities, events, and programs.
7. Monitor and input budgets, keep monthly records, and allocate Visa card transactions.
8. Maintain general office and printer supplies for departments, reporting any printer and copier issues.
9. Provide oversight to departmental newsletter mailings.
11. Coordinate the website management for the department.
12. Maintain and update appropriate departmental records, including curriculum sheets, advising reports, and department forms.
13. Provide pickup and delivery service to faculty services for departmental faculty.
14. Coordinate arrangements for special events and programs, such as open houses, department seminars, faculty retreats, and other special department events and programs.
15. Hire and supervise department work study student.
16. Provide support for faculty searches and new hires.
17. Maintain consistent and reliable attendance.
